Follow these steps to add new items to your company database

• Open the Item Database.

• Enable the Edit Mode

  When the Edit Mode is enabled, a red line appears beneath the toolbar icon buttons.

• Click the Add toolbar button or select Add Record from the Edit menu

The Item ID field is enabled and ready to be filled in

• Enter in an Item ID or use the auto generated MacPOS ID

• Hit the Tab key to move to the next field as required

The minimum entry would consist of Item ID, Description and Price 1

• Click Save toolbar icon or hit the return key to save all information

Importing Item Data

To save time entering data and enable transferring from one application database to another, MacPOS can import data from other programs directly into its own database.
 
The data to import must be in text tab delimited format. You can import an entire database or just update a single field.  If a field is included in the imported data, it will replace that field in the database with the new information. These changes may be product price updates that receive from a distributor or product vendor. If a field is left blank in the import, that record is NOT changed.

In row 1, in the Excel spread sheet file below, is the header row for the imported file. The header row defines the fields to be imported.



The field names in the header must match exactly, the name of the field in the MacPOS database or the import for that field will fail.

If the field name is Price 1 in your database and you try to import a field named Price One, then it will not import as they don't match.

You must have an Item ID field and it must be in the FIRST column A as shown above. The Item ID must be unique or the import for that row will fail if another proceeds it in the list.
 
Individual fields are limited to 255 characters. Fields longer than this should not be included in the import file. See the Item data fields link for more information on each the fields in database.

Save the import file as a text tab delimited file with a .txt extension.

Don't leave the import file open in other application because the importing of the file may fail.


The Edit Mode must be enabled to import items.

• Make a backup your data before importing in the event a mistake is made.

• Create a backup by duplicating the data folder or by creating an archive file [.zip] in the Finder.

• Open the Item database

• Click the Edit Icon in the toolbar or select Enable Edit Mode in the Edit menu

• Select Import… from the File>Utilities menu



Importing Functions

• MacPOS Database - import files created from earlier versions of MacPOS

• QuickBooks Database - import customer or inventory files from QuickBooks Pro

• Tab Delimited - import a text tab delimited file
 

 
• Click the Import button to select the file to import

• Select the file to import in the open file dialog.
